Publishing + Support · Practical guide

Connect AI publishing, website questions and support follow-up

Follow one onboarding announcement through publishing, an AI-assisted question and a useful editorial follow-up.

Plan one connected example

Illustrative workflow

Your team has written an invitation checklist for its own service. You want to announce it to an email mailing list, answer visitors’ general questions on your website and send account-specific requests to support. A repeated question may then help your editor improve the checklist.

This is a configuration and planning example, not a customer case study or a live demonstration. EleonEcho supplies publishing, agent and Ticket capabilities; each connection needs its own setup. Publishing an email does not automatically create a Ticket, identify a website visitor or add the message to an agent’s knowledge.

Give the workflow three owners: an editor for the announcement and source material, a deployment owner for the website agent and its permitted tools, and a support owner for routing and follow-up. One person can hold several roles, but each checkpoint needs an owner.

Prepare the workspace and the receiving team

  • Publishing: an authorized, active Publishing channel, permission to create posts and the review flow your team intends to use.
  • Email list: a supported mailbox connection and a channel-owned recipient list that your team is authorized to contact. Importing a list does not collect consent or synchronize Contacts.
  • Website AI: a deployed agent, approved website origin and visitor access policy, a working embed and the intended public knowledge source.
  • Support: a configured Ticket intake tool or integration, a receiving Department and eligible staff who can access the resulting case.

For this email example, supported connection-backed publishing includes Microsoft delegated, shared or application mailboxes, Gmail OAuth and IMAP/SMTP mailboxes. Other destinations have their own supported formats and setup. Read email connection setup and email mailing lists before preparing recipients.

If you also want replies to the announcement to become support requests, configure an independent active Support channel on that connection and the relevant routing. A Publishing channel alone does not enable inbound ticket intake. Website questions use their separately configured intake path.

Write and review one useful announcement

Create a post around the checklist’s actual content and select the intended Publishing channel. AI can help prepare the draft when the relevant generation capability is enabled. Keep the approved checklist beside the draft so the reviewer can check every claim.

Sample brief

Introduce our invitation checklist to workspace administrators. Explain that it covers checking an invitation’s status and finding the next documented step. Invite readers to open the checklist on our website. Use a calm, practical tone. Do not promise that AI can change account access, resend an invitation or resolve every problem.

Replace the example with facts from your own service. Check the subject, message, link destination and any channel-specific version. Submit through the configured review flow and resolve comments before the required approval. AI correction and reviewer approval are separate transitions.

Checkpoint: the editor can trace the announcement to the approved source, the link opens the intended page, and the post has completed the required review. Use the publishing guide and post review instructions for those steps.

Preview the email and inspect delivery

Inspect the current list, connected sender, example recipient and rendered message in the publication preview. Email defaults to individual delivery. Optional unsubscribe must be configured; it requires individual delivery and the deployment’s public HTTPS endpoint. Check the list’s suppression state and your team’s consent records before sending.

Choose the intended publication schedule. Review and scheduling do not freeze the mailing list: the first send step captures recipients, sender, settings and rendered content. Current suppression is checked again before a pending delivery is claimed.

Checkpoint: inspect the publication and recipient outcomes after execution. A scheduled post does not prove provider acceptance, and provider acceptance does not prove that a person read the email. Follow publishing schedules and delivery troubleshooting. Do not blindly resend an operation whose outcome is ambiguous.

Answer a website question from approved knowledge

Make the approved checklist available through the website agent’s configured knowledge source and binding. A published page or stored document does not automatically become agent knowledge. Confirm the intended version can be retrieved and test with the same guest or authenticated access that visitors will use.

Sample visitor question

“I read your invitation checklist. My invitation says it has expired. What should I do next?”

The agent can explain the steps supported by its approved reference material and ask a relevant clarification. It should avoid inventing an account-specific result. If the next action needs protected information or a tool outside its allowed scope, use the configured support path.

An email recipient and a website visitor are not automatically the same verified identity. Do not infer account access from a campaign link or chat message. Checkpoint: the answer matches the source, and an unsupported account action reaches the intended boundary. See knowledge setup and tool permissions and autonomy.

Confirm the Ticket before promising follow-up

The deployed agent needs an enabled, authorized Ticket tool or an equivalent configured integration to create the case. Instructions to “contact support” alone cannot establish that connection. Test the actual intake result, receiving Department, requester information and conversation context available to staff.

Useful context includes the visitor’s goal, the checklist step already discussed and why the request needs a person. Collect only what the authorized support workflow needs. A chat session does not itself grant customer portal access.

Show a queued-request message only after the Ticket operation confirms success. A queued Ticket is different from a staff member joining live; live takeover requires its own working connection and a confirmed staff presence. If intake fails, show the failure and an available next step.

Checkpoint: one controlled request appears where the receiving team expects it, with usable context and the correct access. Test interruption and retry behavior. Follow website-agent setup, Departments and routing, and the Ticket workflow.

Turn the question into better content with editorial review

Support handles the individual case through its authorized reply workflow. Use internal notes for private team discussion and keep them separate from public replies. If the question exposes a documentation gap, the support owner can give the editor a short, non-identifying summary: “Readers need a clearer explanation of expired invitations and the next supported step.”

This feedback step is human work in the example. A Ticket does not automatically rewrite a post, publish an article or train every agent. Where enabled, an internal marketing ticket can hold the private editorial task; the team can also use its existing planning process.

The editor checks the proposed explanation against the service’s actual behavior, updates the checklist and follows its review process. The agent owner then updates the relevant knowledge source through that source’s supported workflow and verifies retrieval of the revised information. If another announcement is useful, prepare it as a new reviewed publication.

Final checkpoint: rerun the original question, one variation and an account-action request. Inspect answer accuracy, the handoff result and the team’s ability to continue the case. These checks measure specific workflow outcomes; they do not establish email engagement or a reduction in support volume. Read replies and internal notes for the communication boundary, or review and escalation before expanding the agent’s scope.
